Day of the Event

To-dos:

  • Delegate tasks to your partners and volunteers:

    • Someone should be on hand to speak with the media

    • Someone should coordinate completed applications

    • Someone should coordiante the process tracking applications

  • Volunteers should have an easy way to periodically give you updates throughout the day.

  • Have people on hand to problem-solve and provide support.  Set-up a command center for the day where volunteers can call with questions.  Also assign region captains, if you are covering a large area, to replenish supplies and serve as a go between for the enrollment locations and the command center. 

  • Clearly mark where families wait, where they go to start the enrollment process and where there are bilingual applicaiton assistants.  The process for families should be as easy as possible.

  • Devise a plan for sending or taking complete applications to Healthcare and Family Services, and where to keep them safe until then.

  • Devise a plan for families who cannot complete an application: What are there next steps? Who can they go to for support if they need to complete an applicaiton at a later date?

Keys to Success:

  • Show up early to enrollment locations because potential applicants will be there early too.

  • Train your volunteers to keep count of the completed applications and report periodically throughout the day.  This will make tracking and evaluating the event easier.

  • Create a brochure with instructions for completing the application for families who cannot complete the applicaiton on site.
