Recruiting Enrollment Specialists and Volunteers

To-dos:

  • Recruit trained All Kids Application Agents (AKAAs) in your community or work with the state of Illinois to find AKAAs who are available for your event.   

  • Determine how many enrollment specialists and other volunteers you will need and include a few alternatives for no-shows.

  • Use your partners and sponsors to recruit volunteers.  You want volunteers that you or your partners know and trust.  Get to know your volunteers.

  • Schedule time to train volunteers on their particular job and keep them informed throughout the planning process.

Keys to Succes:

  • You will want trained enrolment specialists at each enrollment site because these are the people who can enroll families in Illinois' programs on site.  Keep in mind that you may also want volunteers to set-up, clean-up after the event, publicize the event and provide support during the event, including child care.

  • There are probably trained All Kids Application Agents (AKAAs) in your community.  You can also inform volunteers as to how they can become AKAAas so that they can be financially compensated for successfully completed applications both during and after the event. 

  • Illinois Healthcare and Family Services can be a great resource for training your volunteers.  With enough notice, they can do on-site All Kids Application Agent trainings.  They may  also be able to supply AKAAs from other communities to ensure that you have enough on hand to enroll families in coverage.

  • Keep in mind when deciding how many enrollment specialists you will want that an application can take 20-30 minutes to fill out with a family. 
  • Depending on the demographics of your community, you may need bilingual volunteers.

  • Your partners, particularly partners serving as enrollment locations, are great resources for recruiting volunteers. You volunteers you can trust and rely on.

  • Consider who you are targeting to come to the enrollment event and ensure that a majority of the enrollment specialists and volunteers are individuals whom the families easily relate to, trust and speak the same language.
